Transcript Shield is designed to help researchers clean transcripts and redact personally identifiable information before that data goes anywhere else. Privacy is not just something we promise in a policy — it is how the product is built. Transcript processing happens entirely in your browser, and your transcript content is never uploaded to or stored on our servers. This policy explains what information we do and do not collect, how we use it, and the rights you have over your data.

How Transcript Shield Processes Your Transcripts
Transcript Shield performs transcript cleaning, PII detection, and redaction locally on your device, inside your browser. When you open a transcript in Transcript Shield:
The file is read and processed by code running in your browser.
Transcript content is never transmitted to Transcript Shield's servers or to any third party.
Detection and redaction results exist only on your device until you choose to export them.
Closing the tab or clearing your session removes the transcript from your browser's memory.
Because transcript content never reaches our systems, we cannot access, view, recover, or disclose it. This section describes an architectural property of the product, not merely a policy choice.
Information We Collect
Account information
When you create an account, we collect basic information such as your name, email address, organization name, and billing details. Billing information is processed securely by our payment provider and is not stored directly by Transcript Shield.
Workspace settings
We store the configuration data needed to make the product work across sessions and devices, such as your workspace preferences and custom dictionary terms you create. [Confirm: if the workspace dictionary syncs via your backend, keep this; if it is local-only, move it to the local-processing section instead. Note that dictionary terms a user creates could themselves contain names or other identifying words, so it is worth stating how they are stored and secured.]
Technical and usage information
We collect limited technical information such as feature usage, interaction events, device and browser details, and error reports. This telemetry describes how the application is used — it does not include the contents of your transcripts. [Confirm your error-reporting setup: make sure crash reports and logs are scrubbed so transcript text can never appear in them, then you can state that plainly here.]

Speaker names or diarization data from your files

How We Use Your Information
We use account and usage information to provide and improve Transcript Shield, maintain system performance, secure the service, process payments, and provide customer support. We do not sell your data, and we do not use any of your information for advertising purposes.
Data Sharing
We share data only with trusted service providers that help us operate Transcript Shield, such as cloud hosting and infrastructure providers, analytics services, and payment processors. These providers are bound by confidentiality and data protection obligations, and they never receive transcript content because that content never leaves your browser. We do not share your data with advertisers or unrelated third parties.
Data Security
We implement industry-standard security practices to protect the account information we hold, including encrypted data transmission, encrypted storage, and access controls. The most important security property of Transcript Shield, however, is structural: transcript content is processed on your device and never transmitted to us, which means it cannot be exposed by a breach of our systems.
Data Ownership and Control
Your transcripts are yours and remain on your device throughout. For the account information we do hold, you may update your details or request full account deletion at any time. Upon account deletion, your account data will be removed from active systems within a reasonable timeframe, subject to standard backup retention policies.
Your Rights
Depending on your location, you may have the right to access, correct, or delete your personal information, restrict certain processing activities, or request a copy of your data. If you would like to exercise these rights, you can contact us at support@transcriptshield.com
Data Retention
We retain account information for as long as your account is active or as necessary to provide our services. We may retain limited information for legal, security, or operational purposes as required by law. Transcript content is not retained by us at any point because we never receive it.
Policy Updates
We may update this Privacy Policy from time to time as our product evolves. If we make material changes, we will notify users through email or in-product notifications.
